I've seen this pattern many times now—the lowest quote isn't always the lowest cost. Shipping, minimum order quantity, lead time, and return policy all change the math.
A recent example: two quotes for hybrid air hose. Vendor A: $4.20/foot, 2-week lead time, free shipping over $500. Vendor B: $3.85/foot, 4-day lead time, $85 flat shipping. We needed 200 feet. Vendor A total came to $840 plus tax. Vendor B came to $770 plus $85 shipping plus tax—and we'd get it a week and a half sooner. Vendor B won. The "cheaper" per-foot price from Vendor B was actually the better total cost in this case, but I've seen it flip the other way too.
I keep a simple spreadsheet now: unit price × quantity + shipping + any setup fees = total landed cost. Then I compare lead time separately. It's not sophisticated, but it's saved us from a few bad decisions.

What was best practice in 2020 may not apply in 2025. Vendor capabilities change, shipping costs fluctuate, and material availability shifts. The fundamentals of verification and documentation haven't changed, but the execution has—more online ordering, faster lead times, and unfortunately, more variation in vendor quality.
None of this is complicated. It's just a matter of doing the boring parts consistently. That's what separates a smooth order from one that eats your budget and your credibility.
